This guide is for organisation administrators (anyone with the Client Admin role) who manage users and licence groups in Totum. Following the order below avoids users missing their role or group access.

Adding a new user (recommended order)

  1. Sign in to Totum web as a Client Admin.

  2. Open your organisation's main (root) group.

  3. Create the new user here and assign their role. See Creating a new user and Assigning roles.

  4. Once the user has been created, add them to the relevant licence group. See Adding users to licence groups.

Important: create users in the root group first, not directly from inside a licence group. Users created inside a licence group may not receive their role correctly.

If a user can't see their group or licence

  1. Open the root group and find the user.

  2. Add their role again from the root group.

  3. Ask the user to sign out and back in.

Good to know

  • Invited users - You can't change a user's role while their status is still "invited". Wait until they have completed registration.

  • One role at a time - Add roles one at a time when setting up a user.

  • Bulk uploads - Users can upload CSV files to add multiple users in to a group at once. Please confirm that all the names/emails/roles are in the correct formats (an example file can be found when opening the Create New User dropdown).

  • Adding activities to a licence - If you can't see the activities you need for your training (or if you want more activities), please press the Get Personal Support button at the top of the page so that we can help you out. This is something that has to be modified by Inovus Support Staff.

  • Adding a new user below a root-group - Users can be added into groups below the root group (e.g. into a License or Sub-group) with a specified role. Users will be added to the root-group, but they will not be given a role automatically. This is to ensure that users aren't given any permissions that admins don't want for the entirety of the group.
